The following information gives an overview of what happens to your personal data when you visit this website. Personal data is any data that can be used to identify you personally.

3. Visiting the website
When you visit the website, our server processes technically necessary connection data, in particular IP address, time, requested resource and browser information — only in order to deliver the page. We do not keep an access log of individual page views; the data is not stored after delivery. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in a secure and functioning website).
The connection is encrypted with TLS (recognisable by “https://”). We deliver fonts and images from our own server; no data is transferred to Google Fonts or other providers when you visit.
5. Contact form, email and phone
If you use the contact form, we use the data you provide (e.g. name, company, email address, phone number, details of your enquiry) to handle your enquiry and to contact you about it. Your data is not sold and not published.
Your enquiry is delivered as an email to our mailbox info@zencodiq.com and handled there. It is passed on only to technical service providers, as far as this is necessary for hosting and delivery by email (see section 6).
If you email or phone us directly, we process your details (e.g. name, email address, phone number, content of your message) for the same purpose, on the same legal bases and with the same storage period as enquiries sent via the form.
The legal basis is Art. 6(1)(b) GDPR where pre-contractual measures or a contract are concerned; for other enquiries, Art. 6(1)(f) GDPR (legitimate interest in answering them). Consent is not required for this and is not requested.
Protection against misuse: When you send the form, we also process your IP address in order to limit the number of submissions per sender and to block automated spam. The IP address is held briefly for this purpose only, is not logged, is not attached to the content of your enquiry and is discarded after 60 minutes at the latest. The legal basis is Art. 6(1)(f) GDPR (legitimate interest in the secure operation of the form).
Required details: We need the fields marked with an asterisk (name, email address, enquiry) in order to handle and answer your enquiry at all. The phone number is optional; we only need it if you choose a call back in the form. All other details are optional. If you do not provide the required details, we cannot accept the enquiry via the form — you can still reach us by email or phone.
Storage period: If your enquiry does not lead to a quote or an order, we delete it six months after the last contact. If it leads to a quote or an order, we keep the correspondence as business letters for as long as the law requires (currently six years, § 257 HGB and § 147 AO), and delete it afterwards.
No automated decision-making: Your enquiry is read and answered by us personally. There is no automated decision-making, including profiling, under Art. 22 GDPR.
6. Hosting & technical service providers
This website runs on a server that we operate ourselves in a data centre in Germany. The server is provided by IONOS SE (Elgendorfer Str. 57, 56410 Montabaur); on our behalf, it processes the connection data named in section 3. No data is transferred to a third country. The legal basis for hosting is Art. 6(1)(f) GDPR (legitimate interest in secure and efficient provision).
Enquiries received via the contact form are passed on for further internal handling to an automation solution (n8n) that we operate ourselves. It runs on the same server and is not operated by any other provider. It only forwards the enquiry as an email and does not store it permanently: technical intermediate states are deleted after about one hour. If the nightly backup of our server falls within this time, the enquiry may be included in it. These backups are encrypted, are stored on our server and with Hetzner Online GmbH (Industriestr. 25, 91710 Gunzenhausen, storage location within the EU) and are deleted after six months at the latest. No data is transferred to a third country in this process.
Our email mailboxes are provided by STRATO GmbH (Otto-Ostrowski-Straße 7, 10249 Berlin). The email with your enquiry is sent through it and stored in our mailbox. Processing takes place in Germany; no data is transferred to a third country. The legal basis is Art. 6(1)(b) or (f) GDPR, as described in section 5.
7. Your rights
You have the right at any time to obtain information free of charge about the origin, recipients and purpose of your stored personal data (Art. 15 GDPR), as well as the right to rectification (Art. 16), erasure (Art. 17), restriction of processing (Art. 18) and data portability (Art. 20). If you have given us consent, you can withdraw it at any time with effect for the future (Art. 7(3) GDPR).
You can also lodge a complaint with a data protection supervisory authority (Art. 77 GDPR). The authority responsible for us is the Saxon Data Protection and Transparency Commissioner (Sächsische Datenschutz- und Transparenzbeauftragte, www.datenschutz.sachsen.de).
Right to object (Art. 21 GDPR): Where we process data on the basis of a legitimate interest (Art. 6(1)(f) GDPR), you can object to this processing at any time with effect for the future. An informal message to info@zencodiq.com is sufficient.
